What is ERP software, and which parts of your operation should it run?

ERP connects business records. Follow an order through fulfilment and finance to understand what it must also do to support the work itself.

ERP stands for enterprise resource planning. ERP software brings business functions such as purchasing, inventory, sales and finance into connected applications that share information. Depending on the product and modules selected, it can also cover manufacturing, warehouse management, human resources and other work. SAP’s ERP overview describes this integrated approach.

For an operations director beginning a systems review, the attraction is clear: the purchase order, the stock in the warehouse and the financial records should agree. An ERP can help establish that shared account of the business. The review also needs to establish how the software will help people carry out the work those records describe.

Those are related requirements. A system can show that an order is waiting to be packed without giving the packer the instructions and checks needed to complete it. Understanding the difference helps you decide what the ERP should run, what needs extending and where a connected operational application might belong.

What ERP brings together

An ERP is organised into applications, often called modules, that handle different business functions. They use common information so a change in one part of the business can inform another. The modules available, their depth and the connections between them vary by product and implementation.

Consider a distributor replenishing stock. Purchasing records what it ordered from a supplier. The warehouse records what arrived. Inventory uses the receipt to establish what is on hand, and finance can compare the supplier’s bill with the purchase and receipt records. Sharing the product and order references gives each team a way to trace its part of the transaction.

The shared information needs agreed meanings. If purchasing orders a case containing six units and the warehouse counts individual units, a receipt of two cases must be understood as twelve units. If one case is damaged, the operation also needs to distinguish stock physically received from stock it can use to fulfil orders. Entering a quantity once only helps if the functions using it understand the same thing.

These definitions are part of ERP implementation. Purchasing and warehouse teams must agree how a case translates into units and who can change that definition. When existing stock and open orders move into the new system, their quantities must retain the same meaning. Copying the number “2” from a case-based record into a unit-based field would turn twelve units into two. The project therefore includes checking and translating existing data, resolving conflicting definitions and assigning responsibility for keeping them consistent after launch.

One order contains several different facts

Here is an illustrative order, not a customer case. A distributor accepts an order for twelve cartons. The customer allows partial deliveries, and ten cartons are ready to leave today. Their agreement is to invoice each shipment.

The sales order records the commitment to supply twelve. Reserving ten cartons sets them aside for this order; it does not establish that anyone has picked or shipped them. Warehouse staff pick and pack those ten, complete the required checks and confirm dispatch. The shipment record now establishes that ten cartons left, while two remain to be supplied.

Finance can use that confirmed shipment to prepare an invoice for ten cartons under the agreement in this example. The invoice records the amount billed to the customer. Payment is a further event, so creating the invoice does not mean the balance has been settled.

All these records may live inside one ERP. They still describe different things. Marking the entire order “complete” when the ten cartons leave would conceal the two outstanding. Treating a reservation as a shipment would say goods had left before the warehouse confirmed it. An integrated system needs the distinctions as well as the connections.

For the team running the operation, those distinctions answer practical questions: what have we promised, what is ready for work, what has left and what remains? For finance, they provide the evidence needed to apply the agreed financial treatment. The next shipment can complete the order without rewriting the history of the first.

Finance and warehouse work need different views

Financial software maintains accounting records. Its general ledger brings entries together, while accounts receivable and payable track customer and supplier balances. Those functions help finance account for transactions and reconcile balances. Oracle’s finance-module guide explains this scope.

At the packing bench, the immediate questions are different. The operator needs to know which cartons belong to this shipment, what the packing sequence requires and whether the work is ready for dispatch. A useful screen presents those instructions at the step where they apply and records the result against the shipment.

The phrase “operational ERP” usually emphasises requirements like these, while “financial ERP” emphasises the accounting functions. They are overlapping priorities, not two mutually exclusive product categories. ERP suites can direct detailed warehouse work: Dynamics 365 Supply Chain Management, for example, uses work templates to determine instructions on workers’ mobile devices.

The question for an implementation is how well its particular workflow represents your work. A module called “warehouse management” needs examination at the level of the task, the instruction and the rule that permits the next step.

Why changing a process involves more than changing a screen

Continue the illustrative shipment. The business requires a packing check before cartons can be dispatched. Suppose it changes the process so the operator checks each carton as it is packed, replacing a separate check at the end.

The packing screen must now collect a result for each carton. The dispatch rule must also recognise those results and confirm that every carton in the shipment has been checked. Updating the screen alone could collect useful information while leaving dispatch dependent on an obsolete final check. Removing that final check without replacing its rule could let incomplete work move on.

This is why apparently small process changes can create substantial implementation work. The instruction, the recorded evidence and the permission to proceed describe parts of the same behaviour. They need to change together, with a decision about shipments already in progress and tests of the revised paths.

A standard ERP workflow may already support the process you need. Adopting it can be a useful improvement, particularly where a local habit adds work without protecting a customer commitment or preventing an error. Keeping an application outside the suite adds responsibility for its connections. Keeping the work inside the suite still requires an implemented process that people can follow and the business can maintain.

Organising fulfilment in Keel

Set the scope by following the work

When a supplier demonstrates your process, follow an order from the commitment through the work and into its financial records. Check whether the system keeps outstanding quantities visible and distinguishes reservation, shipment and invoicing. Then look at the operator’s task: what instruction appears, what result is recorded and which rule permits the work to proceed?

Introduce a process improvement you expect to make. Ask to see how both the working steps and their controls would change, and who would implement and maintain that change. This gives you evidence for deciding whether the suite covers the work, needs an extension or should connect to a separate operational system.
